Paycheck

Section 1

Emp No. – This is your employee number.  You will use this number instead of your Social Security number for most Human Resources and Payroll purposes.

Dept. – This is your primary pay location number.

Advice Date – This is the date your paycheck/direct deposit is payable to you.

Period End Date – This is the payroll period ending date.

Type – This is the payroll cycle which is usually Monthly.

Advice Number –This is the paycheck/direct deposit number.

 

Section 2

Earnings – This is the description of the type of pay you are receiving.

Rate –If you are paid by the hour, this is your Rate of pay. If you are not paid by the hour, this column will be blank.

Hours – This is the number of hours you worked during the pay cycle. Report any discrepancies to the location responsible for entering your time.

Total Amount – is one of the following

  • Your hourly rate multiplied by the hours you worked.
  • Your monthly salary amount if you are paid a monthly rate.

Section 3

Deductions –This is the description of the type of deductions being withheld from your pay, or the contribution made by your employer on your behalf.

Current – This is the current amount being deducted from your paycheck for the deduction type printed in the Deductions description column.

YTD – This is the calendar year-to-date amount that has been deducted from your paycheck for the deduction type printed in the Deductions description column.

Mandatory Deductions
Social Security (FICA)
Medicare
Federal Tax Withholding
State Tax Withholding
Association (Union) Dues (if eligible)
Worker’s Compensation
Court Orders (Garnishments, Levies, etc.)

Possible Voluntary Deductions
Retirement savings - 403(B) or 457(B)
United Way
Maps (credit union)
Section 125 Flexible Spending/Dependent Care accounts
Elected Insurance premiums

Empr Current - This is the current amount your employer is contributing for you on your behalf for the deduction type printed in the Deductions description column.

YTD - This is the calendar year to date amount your employer is contributing for you on your behalf for the deduction type printed in the Deductions description column.

Public Employee Retirement System (PERS) Pickup
PERS Employer Expense
Workers Compensation
Medical/Dental/Vision Insurance Employer premiums
Life Insurance Employer premiums
Employee Assistance Program (EAP)
State Unemployment Insurance (SUIC)
Flexible Spending Administration Fee
Social Security (FICA) and Medicare (Employer match)

 

Section 4

Leave - This is the description of the type of leave for which you are eligible. Leaves are earned based upon district policy and bargaining unit criteria. Amounts cannot exceed current available balance, nor can you use future accruals.

Sick Leave
Vacation

Earned/Used/Balance - This is the amount of the leave described in the Leave column which you have earned, used, and still have available to use.

 

Section 5

Taxable Pay – This is the current and calendar year-to-date total summary of earnings which are subject to taxation. This is the Gross Pay reduced by pre-tax deductions such as health insurance premiums, Section 125 flexible spending and dependent care accounts, or “retirement” type deductions such as 403(B)/457(B).  

Gross Pay – This is the current and calendar year-to-date summary of earnings not reduced by pre-tax deductions such as health insurance premiums, Section 125 flexible spending and dependent care accounts, or “retirement” type deductions such as 403(B)/457(B).   

Deductions - This is the current and calendar year-to-date summary of the deductions listed in Section 3 of the paycheck advice.

Net Pay -  This is the current and calendar year-to-date summary of earnings reduced by deductions.

 

Section 6

This section lists the information the employee supplied on their W-4 for Federal and State withholding:

M/S  - Married/Single

#  -   Number of allowances claimed

Extra – Amount of additional withholding requested for either Federal or State withholding.
